Prices read from each vendor's own page on October 22, 2026. Gifts are priced at each system's published card and bank rates. ChurchTrac and B1 publish Stripe's nonprofit rate of 2.2% + $0.30, and Covenant OS card gifts run from 2.2% + 30¢*. Average online gift $100. Setup fees are spread over three years. Systems sold only by quote are left out. How we review software

Church management software, often shortened to ChMS, keeps a church’s people, giving, kids check-in, groups, volunteer schedules and messages in one place. We priced the systems churches ask about, our own Covenant OS among them, from each vendor’s own pricing page on October 22, 2026, worked out what a year costs a church of 50, 150 and 400 people with giving fees included, read what their users praise and complain about, and scored every one that publishes a price.

The short answer. For most churches of 100 to 300 people, start with Covenant OS if Sunday runs your week, ChurchTrac if the treasurer wants the books in the same login, and Breeze if one flat $72 bill matters more than any single feature. A church with no budget should open B1, which charges nothing at any size, or the Covenant OS free apps. Large churches with technical staff look at Rock RMS or Covenant OS.

At 150 people, every system on this page except hosted Rock costs $0 to $1,700 a year in software and $3,000 to $4,500 a year in card and bank fees on online gifts. The giving rate a system offers moves your yearly total more than its monthly price does.

How to choose in three weeks

Start with six numbers of your own: names in the database, children checked in on a normal Sunday, online gifts last month, volunteers on the schedule, groups, and your average weekly attendance. Those six numbers set your price on most systems on this page. ChurchTrac bills on names in the file, and a church of 200 people on a Sunday often carries 300 names.

Then put these questions to every vendor on your list, and have them answer on a screen with your church’s numbers.

  • Can a staff member export every person, every household, every gift and every custom field to a spreadsheet without calling support?
  • What does the export cost, and how long does it take for a church our size?
  • Which price moves when the church grows, and what is the next band?
  • Who holds the records, where are they stored, and what happens to them if we leave?
  • Is there a contract, and what does it cost to end it?

Every system we checked can export. Planning Center People sends a CSV of “all data for every profile in your database,” and its Giving reports export to CSV. Breeze exports people, tags, events, contributions and notes to Excel. ChurchTrac exports many reports to CSV, and most giving reports as PDF or CSV. Run the export test on every finalist, free plans included, and watch a staff member do it. A system that cannot pass that test will hold your records hostage the day you want to leave.

Price the size one step above where you are today as well. Planning Center’s tiers, ChurchTrac’s name bands, One Church’s profile counts and Elvanto’s active-adult plans all jump at a line, and a spring of growth can move you over it.

WeekWhat to do
OneCount the six numbers above, then read each vendor’s price at your size and the next size up.
TwoPick two systems and start free trials. Read each vendor’s privacy terms, import twenty families and a month of giving from your own records, and delete the trial if you do not buy. Have the person who will use it every week do the work, because a demo on the vendor’s sample data will not show you how your own records look.
ThreeRun the export test on both, get the yearly price in writing for your size and the next size up, and decide.

Once you decide, move people first, then giving history, then groups and check-in, and keep the old system open for one month.

When you want the three most common systems priced side by side, read Planning Center vs Breeze vs ChurchTrac, and use the church software cost calculator to work out a year for your own numbers.

What a year costs, giving fees included

Every comparison we found online lists monthly software prices and stops. A church pays two bills, and the second one is bigger. Software is a line in the budget. Card and bank fees come out of the offering before anyone counts it, so they never show up on a budget line at all.

The calculator at the top of this page runs the same arithmetic for your own church. Here is how we worked out both. Software is the published monthly price at each size, times 12, plus any setup fee spread over three years. Giving fees use one set of numbers for every system: $2,000 given per person per year (the average in the Faith Communities Today 2020 national survey), half of it given online, 70% of online dollars by card and 30% by bank transfer, and an average online gift of $100. Each system’s gifts are priced at the card and bank rates it publishes. ChurchTrac and B1 publish Stripe’s nonprofit rate of 2.2% + $0.30 a card gift, so they are priced at it. Covenant OS card gifts run from 2.2% + 30¢* and bank gifts cost 0.8%, so it is priced at those rates. Systems that pass gifts to Stripe without publishing a rate are priced at Stripe’s list rate of 2.9% + $0.30. Where a system has no online giving of its own, we paired it with Tithely’s free giving plan at its published rates. Where a system’s built-in rate is not published, we priced it at 2.9% + $0.30 a card gift and 1% + $0.30 a bank gift and said so in the row.

*Stripe’s nonprofit rate, so it depends on Stripe approving the church for it. We are in active negotiations with several processors to bring it lower for churches, and Covenant OS never adds a fee of its own.

A year of software plus giving fees at 50, 150 and 400 people, in dollars. Software is the published monthly price times 12, plus any setup fee over three years. Giving fees are card and bank fees on the sample gifts described above. Sorted cheapest first at 150 people. The notes under the table list the add-ons the scorecard charges for jobs a plan leaves out.

Three things fall out of that table.

Giving fees are the bigger bill at every size. At 150 people, B1 charges nothing for software and still costs $2,985 a year, because that is what card networks keep from $150,000 of online gifts at the nonprofit rate. Planning Center’s software costs $1,332 a year at 150 people, and its 2.15% card rate saves $1,000 to $1,200 a year in fees against systems that charge 2.9%. That saving pays for most of the software.

Bank transfers are the cheapest fix. A $100 gift by card costs $2.45 in fees on Planning Center and $3.20 at 2.9% + $0.30. The same gift by bank transfer costs $0.30 on Planning Center, $0.80 on Stripe and $1.30 on Tithely. Make bank transfer the default on your giving form and your fee line drops by a third or more on any system.

Ask Stripe for the nonprofit rate. ChurchTrac and B1 publish Stripe’s nonprofit rate of 2.2% + $0.30 a card gift, and the tables price them at it. Covenant OS card gifts run from 2.2% + 30¢*. Stripe’s own help page lists who qualifies, a registered nonprofit with at least 80% of its Stripe payments from tax-deductible donations, and prints no rate, so ask Stripe for the number in writing. ChMeetings, ChurchCMS and Rock also pass gifts through Stripe or a gateway the church picks and publish no rate, so they are priced at Stripe’s list rate. At the nonprofit rate each of them would cost a 150-person church about $735 a year less.

The scorecard

We scored every system that publishes a price on the same weights. Six criteria are measured: cost to cover all eight jobs, jobs covered, what users say, free start, your data out, and terms and setup. The seventh is our verdict after pricing each system and reading its users, worth 15 of the 115 points before the total is scaled to 100. Each verdict has a one-line reason in the method below, and its slider goes to zero if you want to rank on the six measured criteria alone. With the verdict at zero, Planning Center and Covenant OS swap places behind B1, and ChMeetings and ChurchTrac move up to fourth and fifth. A system with no published price cannot be scored on cost, so the systems sold by quote are described below without a number.

How the points work

Six measured criteria and our verdict, which you can turn off. Each system earns up to 100 points, and each cell above shows points out of the number in its column heading. Move a slider and the table re-ranks.

  • The lowest cost to cover all eight jobs gets every point. The others scale down from it.

    Full scoring
    • Yearly cost is software plus card and bank fees on the same sample gifts, at each system's published rates, at 150 people.
    • Cost to cover all eight jobs adds a stand-in for each job the plan does not fully include, charged once a year. Kids check-in $216 (PowerChurch Online Check In, $18 a month). Groups $180 (Planning Center, $15 a month). Service planning $348 (Breeze Worship Tools, $29 a month). Texting $84 (ChurchTrac, $7 a month). A website and member app build $159 (ChurchTrac, $477 spread over three years), charged once if either is missing or partial. Giving is not charged, because systems without it are already paired with free Tithely giving.
    • A system earns the full points times the lowest cost to cover divided by its own. The add-ons for each system are listed in the notes under the cost table above.
  • Eight jobs, a full point each when the vendor says it does the job.

    Full scoring
    • The jobs are people records, online giving, kids check-in, groups, services (worship planning and volunteer scheduling), messages, a church website and a member app.
    • A full point when the price counted at 150 people covers the job. Half a point when the job is part of the plan, metered by the message, or a separate paid product or build. Nothing when it is missing or we could not find it.
  • The product's Capterra rating, with 3 stars earning nothing and 5 earning every point.

    Full scoring
    • Capterra blocks automated reading, so most ratings come from Capterra's pages as search engines last saved them, dated March 2026.
    • A product with fewer than 25 Capterra reviews gets the middle of the scale, so a short listing neither helps nor hurts it.
  • How much of the product a church can use for nothing.

    Full scoring
    • 10 for the whole system free with no cap.
    • 7 for a permanent free set of apps that covers several of the eight jobs (Covenant OS free apps).
    • 6 for free software whose hosting costs more than most plans (Rock RMS).
    • 5 for free under a small cap, such as 50 people or a few check-ins a day (ChMeetings, Planning Center).
    • 3 for free giving only. 2 for a free trial. 0 for a demo only.
  • Whether the church can take its records out and connect other tools.

    Full scoring
    • 10 for open source, or a documented full export plus a public API.
    • 7 or 8 for a documented export or API with gaps.
    • 4 where we found neither on the vendor's pages.
  • No contract and no setup fee earns every point.

    Full scoring
    • 10 for no contract and no setup fee.
    • 8 with a setup fee.
    • 5 for a 12-month contract.
  • Our judgment after pricing each system and reading its users. Set it to zero to rank on the six measured criteria alone.

    Full scoring
    • Each system gets 0 to 15 points from us, with one line of reasons. A system with no stronger reason in this guide gets 8, the middle.
    • Drag the slider to 0 and the other six criteria rank every system on their own.
    • ChurchTrac, 14 of 15 . Fund accounting in the same login at a fair price.
    • Covenant OS, 14 of 15 . Every job in one plan priced by church size, with the website included and Churchgoer, the member app, free.
    • B1, 13 of 15 . Free with no cap on anything. The catch is support from a nonprofit run on donations and volunteers, and a member app that is a web app.
    • Breeze (Tithely Church Management), 10 of 15 . Simple, with one flat bill. Worship tools cost extra and giving runs 2.9% + $0.30 a card gift.
    • Rock RMS (hosted), 10 of 15 . Powerful for large churches with technical staff. Hosted, it starts at $405 a month.
    • ChMeetings, 9 of 15 . Cheap and broad, with a free plan to 50 people. Worship planning is thin.
    • One Church Software, 9 of 15 . Priced by profiles, with its own giving processor at 2.7% a card gift and a member app.
    • Church Windows (web), 8 of 15 . Membership, donations, accounting and payroll as modules on a 12-month contract. Nothing in the guide moves it off the middle.
    • ChurchCMS (managed), 8 of 15 . Open source and free to self-host, a young project with no independent reviews. Nothing in the guide moves it off the middle.
    • ChurchCRM (self-hosted), 8 of 15 . Free, open source and self-hosted, so it suits a church with a technical volunteer. Nothing in the guide moves it off the middle.
    • ChurchSuite, 8 of 15 . A UK system with rotas and check-in, and a 0.7% application fee on every gift. Nothing in the guide moves it off the middle.
    • Churchteams, 8 of 15 . Group-leader tools first, with texting and online giving. Nothing in the guide moves it off the middle.
    • Elvanto, 8 of 15 . Worship planning and check-in by active adults, with a separate giving provider. Nothing in the guide moves it off the middle.
    • Flocknote, 8 of 15 . Email and texting first, with giving attached. Nothing in the guide moves it off the middle.
    • PowerChurch Online, 8 of 15 . Books and member records, online or as a one-time Windows license. Nothing in the guide moves it off the middle.
    • Servant Keeper, 8 of 15 . A long-standing records and accounting system. Nothing in the guide moves it off the middle.
    • Subsplash One, 5 of 15 (not scored, by quote). Quote only, and church management came after its app and media products.
    • Pushpay ChMS, 4 of 15 (not scored, by quote). Quote only, on contracts of one to three years.
    • Planning Center, 3 of 15 . We have used it week to week. Each job lives in a separate product with its own screen and its own bill, staff switch between them all day, and simple tasks take too many steps. Services is the strong one.

Drop Website and App from the jobs if your church does not want them, and rescore.

With $1 million a year in online giving, double the weight on cost.

MessagesTexts at $0.02 each, $5 a month for a Text2Give number
Setup and moving inNo setup fee, no contract, cancel anytime. Self-serve CSV import

At 150 people, a church on Giving, Check-Ins, Groups and Services pays $111 a month, $1,332 a year, and about $4,040 a year once card and bank fees on gifts are counted. At 400 people the same four products cost $239 a month, against $72 for Breeze.

Services is the strong product. A worship leader keeps arrangements, keys, rehearsal tracks, a stage view and CCLI reporting in one plan. Volunteers in roles such as check-in, ushers and security can accept or decline, see their schedule and set blockout dates in the free Church Center app or from an email link (Planning Center changelog). Worship team members who need charts, audio and the plan use the separate Services app.

We have run Planning Center week to week. Each job lives in its own product, with its own screen, its own bill and often its own phone app, so staff switch between them all day and simple tasks take too many steps. Its users say the same about price, “the sliding scale fee on every various module just seems like things add up” (r/churchtech, March 2026), and about the phone apps, “Only has half the capabilities of the web version” (App Store, October 2026). They praise the support team, “I love how responsive their support team is, and how often developers actually listen to user feedback” (App Store, July 2026), and a musician wrote that “All of my audio files and pdf’s flow flawlessly” in Services (App Store, October 2026). Capterra rating: 4.7 from 1,137 reviews.

Breeze (now Tithely Church Management)

BreezeRead October 22, 2026
Price$72 a month, flat, for unlimited people and admin users. Worship Tools $29 a month more. Tithely All Access, which adds the custom app and website, is $119

GivingTithely: 2.9% + $0.30 card, 1% + $0.30 bank, 3.5% + $0.30 American Express
Messages250 texts a month included, then $10 per 500
Setup and moving inNo setup fee, no contract. Tithely’s team moves your data in. Premium Onboarding is $599 once

Breeze costs $72 a month at any size, $864 a year. At 150 people the year comes to about $4,809, because gifts run through Tithely at 2.9% + $0.30 a card gift. A part-time administrator gets people, giving, check-in, groups, volunteer scheduling and email on one bill, with no meters to track. Worship planning costs $29 a month more, and at 400 people the card rate costs about $3,300 a year more in fees than Planning Center’s.

Small churches praise the ease of use: “the ease of use is definitely great. Pricing is also better than most” (App Store review). The phone app draws complaints, “I’m so tired of having to log in over and over again every time I need to check something” (App Store, June 2025), and a church weighing a move wrote “Breeze works, but the automations, workflows, and reporting are pretty basic” (r/churchtech, October 2025). Capterra rating: 4.8 from 622 reviews, listed as Tithely Church Management.

ChurchTrac

MessagesEmail included. Two-way texting $7 a month for 250 credits
Setup and moving inFree import of people and families. Optional website and app build from $477, accounting setup from $399

ChurchTrac costs $59 a month at 150 people, $708 a year, and about $3,693 a year with giving fees, the lowest paid total of the systems in this section. It covers all eight jobs at a published price, with the website as an optional paid build, and it has sold church software since 2002. The treasurer and secretary can share one login for fund accounting and the roll. We found no public API, and a full export means building a report yourself.

Reviewers like the price and the member app: “As a low cost option for a church app, this is great” (App Store, December 2025). Treasurers want more depth. One wrote “Reporting engine is very basic” and asked for double-entry accounting (Capterra, Larry H., March 2026), and a member said of the app, “There is no way to add or change information on this app” (App Store, October 2026). Capterra rating: 4.8 from 857 reviews.

At 150 people Covenant OS costs $119 a month, or $1,190 paid yearly, and about $4,413 a year with giving fees on the monthly plan. That is the highest software price of the top five on the scorecard, and it buys every job in one plan with nothing added. See plans on covenantos.com.

A worship leader builds the order of service, songs, keys, volunteers and slides in one plan, and cOS Presenter runs the screens from it. A household’s page holds its members, giving by fund, serving and private care notes. Children check in with a pickup code, and each child carries authorized and blocked pickup lists. Email, texts and app messages land in one inbox. The website and Churchgoer, the member app, carry the church’s own name and words. Technical staff can connect other systems with church API keys and webhooks. It keeps no fund accounting of its own. It posts each deposit, gift lines by fund, to QuickBooks Online or Xero, or downloads a deposit file for other books.

Setup and moving inA dedicated onboarding specialist and success coach. Contract terms not published

Subsplash Giving costs nothing a month. Subsplash One, which adds the app, website, media, streaming, people and check-in, is sold by quote, so we could not price it at 150 people. Subsplash makes The Church App and many churches’ branded apps, and its church management tools came after the media products. Some worship teams on Subsplash keep Planning Center for Sunday, and a worship leader on Reddit asked whether Subsplash can handle planning and volunteer management.

One church praised the consolidation: “We were able to go from three different church management platforms to one, and the value was about the same” (Capterra, Chad H., June 2026). Support is the repeated complaint, “Their customer service is extremely difficult to reach and issues take literally MONTHS to resolve” (App Store, January 2025) and “they no longer reply to any of our emails” (App Store, May 2026). Capterra rating: 4.6 from 156 reviews.

Every Pushpay plan is sold by quote, on a contract of one, two or three years, and a church that leaves early owes the rest. Church Community Builder now redirects to Pushpay.

A user called it “very feature rich” (App Store, November 2024). Price and the interface draw the complaints: “We currently use Pushpay/CCB and from pricing other we could save decent money pretty much going to anything else” (r/churchtech, October 2026), and “we find the interface very hard to use” (r/planningcenter, February 2025). Capterra rating: 4.3 from 440 reviews, listed as ChurchStaq.

Free and open source

Free church management software comes in four kinds: free with no limit, free up to a limit, free software you host yourself, and free trials. Only the first three are free. Here are the free options a small church can use, side by side.

  • B1

    What is free
Everything: people, giving, check-in, groups, service planning, a website builder and a member app.
    Where it stops
It does not stop. There is no cap on people or features.
    What it costs after
$0. The church pays only the card and bank fees on gifts.
  • Covenant OS free apps

    What is free
Sign-ups, events, prayer requests, a church website and Sunday slides, free for good.
    Where it stops
They are separate apps. People records, giving and kids check-in belong to the church plan.
    What it costs after
The church plan starts at $39 a month up to 50 people.
  • ChMeetings

    What is free
Up to 50 people and 50 online gifts a month.
    Where it stops
The free plan has no email, volunteer scheduling, worship planning or accounting.
    What it costs after
$12 a month for 100 people, $25 for 250 with scheduling and worship planning.
  • ChurchCRM

    What is free
The whole program, open source with no paid features.
    Where it stops
The church hosts it, and it takes no gifts online.
    What it costs after
About $3 to $10 a month for shared hosting.
  • Planning Center free tiers

    What is free
People at any size, plus a small free tier of every other product.
    Where it stops
Each tier has its own cap, such as 10 check-ins a day or 15 people in groups.
    What it costs after
$15 a month per product once you pass a cap, then it climbs.

Planning Center’s free tiers and their caps

Planning Center's free cap for each product and the price of its first paid step
Product Free until First paid step
People Unlimited Always free
Check-Ins 10 check-ins a day $15 a month to 30
Groups 15 people in groups $15 a month to 75
Giving 10 donations a month $15 a month to 75
Services 5 team members $15 a month to 20
Calendar 1 room $15 a month to 5
Registrations 5 attendees $15 a month to 20

Four products at the second rung of $32 a month each come to $128 a month, more than Breeze charges for everything. A church of 80 passes 10 check-ins on its first Sunday, so plan on paying for Check-Ins first.

B1 costs nothing at any size. At 150 people the church pays only card and bank fees on gifts, about $2,985 a year at the nonprofit rate. People, groups, check-in, giving, service planning, a website builder and a member app all come with it, and it tops the scorecard. Live Church Solutions, the nonprofit behind it, runs on donations and volunteers, so ask who answers support and how the project is funded.

Public reviews are few: six App Store ratings with no written text, and one church on Reddit that wrote “We just started using last month. Using CMS, Donation tracking and Attendance.” (r/churchtech, October 2026). Like every product with fewer than 25 Capterra reviews, it gets the neutral 7.5 of 15 on what users say.

Use them beside B1 when a church wants a website and Sunday slides at no cost.

ChMeetings

ChMeetingsRead October 22, 2026
PriceFree to 50 people, then $12 (100 people), $25 (250), $40 (500), $50 (1,000), $60 (unlimited) a month. Yearly billing costs 10 months
At our three sizes$25, $25 and $50 a month. Volunteer scheduling and worship planning start at the $25 plan, so the $12 plan does not cover the core package
Free plan50 people and 50 online gifts a month, with no email, volunteer scheduling, worship planning or accounting
GivingNo ChMeetings fee. The church pays Stripe or PayPal directly
Setup and moving inNo setup or termination fees. Free data migration on paid plans

ChMeetings costs $25 a month at 150 people, $300 a year, the lowest published price for the whole core package. Gifts run through the church’s own Stripe or PayPal account, so the year comes to about $4,020 at Stripe’s list rate. It covers check-in, groups, volunteer scheduling, worship planning, giving and accounting, with apps for members and staff. It has no website builder.

Reviewers like how much it covers for the price: “This app was the best since it allows you to do it all, from church management to service planning” (App Store, November 2024), and “Developers are very responsive to requests and feedback” (App Store review). The phone app has rough edges. One user reported “my events kept deleting by itself over and over and over again” (App Store, March 2026). Capterra rating: 4.9 from 151 reviews.

ChurchCRM

ChurchCRMRead October 22, 2026
PriceFree under the MIT license, with no paid features. Hosting is your cost; the project estimates $3 to $10 a month for shared hosting
What it needsPHP 8.4 and MySQL 8.4 or MariaDB 10.11, a person who installs updates, keeps backups and renews the security certificate
GivingRecords gifts, pledges and deposits and prints statements. It takes no gifts online
GapsNo volunteer scheduling, no website, no member app

ChurchCRM costs nothing to license. The church pays $3 to $10 a month for hosting and needs a volunteer who installs updates, keeps backups and renews the security certificate. It is a good database for a church with that volunteer. Write down who that person is and what happens when they move away.

Public reviews are scarce: two on Capterra, while its GitHub project shows about 970 stars and steady work. The one complaint we found is about installing it, “Could not connect to MySQL on localhost” (r/churchtech, 2019), which is the job your volunteer will own.

Rock RMS

Rock RMSRead October 22, 2026
PriceThe software is free. Rock asks each church to pledge a yearly donation per weekend attender. Managed hosting with the donation included: $405 a month at 9 Embers or $419 at Rock Cloud for up to 1,000 attendees, plus $249 setup
GivingThrough a gateway the church chooses. Rock sets no rate
Setup and moving inNo contract from Rock. Implementation is usually a paid partner service

Rock is free software. Managed hosting with the suggested donation costs $405 a month at 9 Embers, about $4,943 a year at 150 people with setup spread over three years, before giving fees. Staff need a developer or a Rock partner to configure workflows, custom attributes and the full API. Under 1,000 people the hosting alone costs more than any other system’s software.

A church that left it wrote “Rock had a lot of neat features” and “i’m currently a solo IT director and didn’t have the capacity to handle it in my own in this season” (r/churchtech, July 2026). A Capterra reviewer put it in fewer words, “months to develop” (Capterra, Madalyn S.). Capterra rating: 4.9 from 101 reviews.

Large-church platforms sold by quote

MinistryPlatform

MinistryPlatform is a heavily configurable database for large churches, Catholic parishes and dioceses, and ministryplatform.com now redirects to ACS Technologies. No price, giving rate or contract term is published. It suits churches with staff who will build their own views and processes.

Reviewers say it needs a “full-time IT person” (Capterra, Brian B.) and call it “difficult to navigate” (G2). Capterra rating: 4.5 from 49 reviews.

FellowshipOne and Ministry Brands Amplify

Ministry Brands’ FellowshipOne address now redirects to Amplify, its all-in-one platform, while fellowshipone.com still loads under “FO Newco, LLC”. Both are by quote. Ministry Brands also owns Elexio and SimpleChurch CRM, both by quote, and Elexio’s pricing address forwards to its contact page.

FellowshipOne’s users like it at a desk: “We love using F1Go for our church management, but only on the desktop”, from a reviewer who also called the app “very, very buggy” (App Store, October 2025). G2 rating for FellowshipOne GO Complete: 3.9 from 32 reviews.

Elexio’s member app reviews are few and old, with complaints such as “There’s no way to reset your password from the app” (App Store, February 2024). Capterra rating for Elexio Community: 4.2 from 120 reviews.

SimpleChurch CRM’s app reviews ask for basics, such as a “notes” section for each member (Google Play, March 2025). Capterra rating: 4.5 from 51 reviews.

Free apps for every church

These apps are free for good, with every feature in each one, for any church with or without a Covenant OS plan. Most church management systems sell these jobs as add-ons. See every app on covenantos.com.

How we did this

  • Prices. Read from each vendor’s own pricing page on October 22, 2026, and linked in every table. Where a page builds its price in the browser, we read the price data inside the page. Vendor screenshots were taken the same day.
  • Products. The outside systems US churches put on shortlists, plus Covenant OS. They come from the Google results for “church management software” and its variations, the vendors named in church technology forums, and the systems our earlier guides covered.
  • Scorecard. Cost points use the cost to cover all eight jobs, which is the yearly total plus a stand-in for each job a plan leaves out, listed in the notes under the cost table. Our verdict is our own judgment and is labeled as such, with a reason for each system in the scorecard method and a slider that sets it to zero.
  • Reviews. Quotes come from the Apple App Store, Google Play, Reddit, Capterra and G2, word for word, each linked to its page. App store and Reddit quotes were checked against the live page on October 22, 2026. Capterra and G2 block automated reading, so their quotes come from our October 13, 2026 research. App store reviews lean toward member apps and recent complaints, so read them as phone-app feedback.
  • What we did not do. We did not sign up for paid trials or accept any vendor’s terms, so every finding comes from public pages, public demos, help centers and reviews. No vendor paid for a place on this page, and no link here earns a commission.
  • Corrections. If a price here is wrong, write to hello@churchposting.com with the vendor’s page and we will fix it and note it in the log below.

Update log

  • October 23, 2026. Picks by church size and the quiz narrowed to the systems that fit each church. Every system review rewritten with its cost at 150 people. Cost notes fold under the table. Covenant OS card gifts now read from 2.2% + 30¢, with the footnote on what sets the rate. Planning Center’s Church Center line now matches Planning Center’s changelog.
  • October 22, 2026. The scorecard now prices the cost to cover all eight jobs, and a seventh criterion, our verdict, which a reader can turn off, joins the six measured ones. Rebuilt as a full-width guide with a cost calculator, a filterable comparison, a scorecard you can reweight and a picker. Covenant OS added to every chart, table and the scorecard at its published prices. Rebuilt as a guide to every system we priced. Every price re-read. Added cost at three church sizes with giving fees, the scorecard, the decision tree, user reviews and vendor screenshots. Church Windows now sells subscriptions only, with a 12-month contract. ChurchCRM now needs MySQL 8.4 or MariaDB 10.11. FellowshipOne’s Ministry Brands address now leads to Amplify, Church Community Builder’s to Pushpay and MinistryPlatform’s to ACS Technologies.
  • October 12, 2026. Free plans and their limits checked for Planning Center, ChMeetings, Flocknote, B1, ChurchCRM, ChurchCMS and Rock RMS.

What's the best church management software?

For most churches of 100 to 300 people, Covenant OS if Sunday runs the week, ChurchTrac if the treasurer wants fund accounting in the same login, and Breeze if one flat $72 a month matters most. B1 and the Covenant OS free apps are the strongest free options. Churches over 1,000 with technical staff look at Rock RMS or Covenant OS, which opens its data to staff through API keys, webhooks and a published OpenAPI file.

What is the best free church management software?

B1 charges nothing for any feature at any size, and the church pays only Stripe or PayPal on gifts. The Covenant OS free apps cover sign-ups, events, prayer requests, a church website and Sunday slides at no cost. ChurchCRM is free software a church hosts itself for about $3 to $10 a month.

What is the best free church management software for small churches?

B1 is free at any size, and the Covenant OS free apps cover sign-ups, events, prayer requests, a website and Sunday slides. ChMeetings also has a free plan. Is Planning Center free for churches?

What is a church management system?

What is the best app for church management?

Start with Churchgoer, Covenant OS's member app, which is free for every church and shows the member-facing free apps. The church plan adds giving, check-in and the Sunday plan.
