Church Management Software Cost: Four Sizes Worked Out

Enter your church's numbers to see what a year of church software costs, with the card fees on online giving counted in. On most budgets those fees are larger than the subscriptions.

This free tool is made by Church Posting.

On these numbers the lowest total is Subsplash Giving + Breeze records, at $6,480 a year.

Six church software stacks, cost for a year

Yearly cost of six combinations of church software, lowest first
Setup Church records Giving fees Texting Sunday Total a year
Subsplash Giving + Breeze records Subsplash publishes exclusive rates on giving and Breeze keeps the records, so the church pays a single giving fee. The Breeze plan includes 250 texts a month, then $10 per 500. $864 $5,148 $120 $348 $6,480
Covenant OS (ours) Every plan carries giving, check-in, groups, messages and the church website, at $119 a month for 101 to 300 people a week. Card gifts are from 2.2% + 30¢ with Stripe's nonprofit rate, once Stripe approves the church, and 2.9% + 30¢ until then. $1,428 $4,884 $113 $348 $6,773
Planning Center Services, Check-Ins, Groups and Registrations on the Planning Center ladders for 180 people a Sunday, 44 people on the Services team, 36 check-ins, 90 in groups and 45 at the largest event, plus Giving at the tier the gifts in the month reach. $2,364 $4,609 $233 $348 $7,554
Breeze, giving and texting included One flat invoice, unlimited logins, and the giving rate you inherit with it. $864 $6,369 $120 $348 $7,701
Givelify + Breeze records Givelify takes the gifts and Breeze keeps the records. Givelify publishes no bank-transfer rate and no nonprofit rate. The Breeze plan includes 250 texts a month, then $10 per 500. $864 $7,205 $120 $348 $8,537
Tithe.ly All-Access Records, an app, a website, and giving on one bill. All-Access includes 100 texts a month, and Tithe.ly publishes no overage price, so texting is priced on Clearstream. $1,428 $6,369 $420 $348 $8,565

Sunday is streaming plus ProPresenter. The Covenant OS row still pays for a ProPresenter seat, because the plan does not include presentation software. Church records is the church management subscription. The Planning Center row counts Services, Check-Ins, Groups and Registrations on their own ladders for 180 people a Sunday, plus Giving at the tier the gifts in the month reach, and the Covenant OS row is priced for 101 to 300 people a week at $119 a month.

Websites are not counted. Covenant OS and Tithe.ly All-Access include one, and Planning Center, Breeze, Subsplash Giving and Givelify do not.

Giving fees by processor

Processor Fees a year
Planning Center Giving Cards at 2.15% + $0.30 and bank transfers at $0.30 with no percentage. International cards cost 1.5% more. Planning Center also offers Giving free for 12 months, by application. $4,609
Covenant OS Giving Card gifts from 2.2% + 30¢ with Stripe's nonprofit rate, once Stripe approves the church, and Stripe's standard 2.9% + 30¢ until then. Stripe approves registered nonprofits whose Stripe payment volume is at least 80% tax-deductible gifts. Bank gifts cost 0.8% capped at $5. Covenant OS adds no giving fee of its own. A church has to be on Covenant OS to use it. $4,884
Subsplash Giving Exclusive rates: cards at 2.3% + 30¢ and bank transfers at 1%. Subsplash's pricing page states no condition on these rates. $5,148
Tithe.ly, and Breeze giving Cards at 2.9% + $0.30, American Express at 3.5% + $0.30 and bank transfers at 1% + $0.30. Tithe.ly publishes no nonprofit rate, so this row reads the same with the switch on or off. $6,369
Givelify Cards at 2.9% + $0.30 and American Express at 3.5% + $0.30. The page states no bank-transfer rate, and Givelify publishes no nonprofit rate, so this row reads the same with the switch on or off. $7,205

The switch on the left changes every processor at once. With it on, each vendor is priced at its own nonprofit or discounted rate and the condition on that rate is in its row. With it off, every vendor is priced at its standard published rate.

Texting

Service Cost a year
Covenant OS messaging 250 texts a month come with the plan, and each text past that costs 2 cents. A church has to be on Covenant OS to use it. $113
Breeze, included 250 free a month, then $10 per 500. A church has to be on Breeze ChMS to use it. $120
Planning Center messaging $5 a month for a toll-free number, then 2 cents a text. A church has to be on Planning Center to use it. $233
Clearstream Credit tiers run from 1,000 credits at $35 a month to 500,000 at $5,899 a month, incoming texts are free, and paying by the year takes 16% off. The 100 credits on the pricing page are a 30-day trial. $420
Text In Church Three plans, CORE, PLUS and SUITE, priced by the credits a month. At 1,250 credits CORE is $35 a month, PLUS $45 and SUITE $60, and each band costs ten months of its monthly price paid yearly. Every plan comes with a 14-day trial. $420

Every price was read off the vendor’s own page, and the date each one was read is listed with the source below. The oldest of them was read October 22, 2026.

What a year costs at four church sizes

The table below is one worked stack at 80, 200, 500 and 1,200 people on a Sunday: ChurchTrac for records, Clearstream for texting, a Nucleus website, Proclaim slides and Resi streaming. The calculator above prices six church software stacks for the same year with your own numbers.

A year of church software and card fees at four sizes
Sunday attendance 80 200 Riverside 500 1,200
Records system (ChurchTrac)$421$853$1,069$1,285

Software total with Covenant OS$892$1,630$5,114$9,300
Card fees at 2.9% + $0.30$2,560$6,400$16,000$38,400
Per person on a Sunday$54.80$43.28$42.32$38.38

Vendor prices read October 22 and October 24, 2026, at yearly billing where the vendor offers it, and Covenant OS on October 24, 2026. Names in the database are taken as 1.5 for each person on a Sunday. Streaming is $0 where a church sends its service free to YouTube or Facebook. Card fees assume $2,000 given per person a year (Faith Communities Today 2020), half of it online, at an average gift of $100. The Covenant OS line replaces the ChurchTrac line, and its plan carries texting and the church website, so the total with Covenant OS drops the Clearstream and Nucleus lines. Texts past the 250 a month the plan includes are 2 cents each, counted at six texts a month to 80 percent of the church.

Four of the five lines barely move with size. The records system steps up as the database grows, streaming starts costing money when a church wants the service on its own website, and the card fees grow with the offering. A church of 200 people spends $2,256 a year on software and $6,400 on card fees, so moving half of its online givers to bank transfer saves more than the whole software budget.

With Covenant OS for records, the same 200-person church pays $1,630 a year for software, including about $170 of texts past the 250 a month the plan includes, because the plan carries texting and the church website, and the card fees still come to $6,400.

What does a church management system cost?

A year of a records system costs $313 to $1,285 on ChurchTrac, $864 on Breeze, $880 on Servant Keeper Core, and $390 to $3,990 on Covenant OS (ours), which runs from $699 a month above 3,000 people, where the yearly price is quoted. ChurchTrac charges by the number of names in the database, Breeze and Servant Keeper charge a flat rate, Planning Center charges each product separately, and Covenant OS charges by average weekly attendance.

A year of each records system for Riverside, 300 names
  1. ChurchTrac 500-name band, paid yearly $853
  2. Breeze $72 a month, any size $864
  3. Servant Keeper core Paid yearly, four users $880
  4. Planning Center Giving at $32 for 167 gifts a month $1,920
  5. Covenant OS (ours) 101 to 300 a week, paid yearly $1,190

Prices read on each vendor's pricing page between October 22 and October 24, 2026, and Covenant OS on October 24, 2026. Each figure is a year at the vendor's own yearly rate. Covenant OS is Church Posting's own and charges by average weekly attendance.

The Planning Center bar counts five products: Services, Check-Ins, Groups, Giving and Registrations. At 200 people, 50 people log in to Services, 40 check in on the busiest Sunday, 100 sit in groups and 50 sign up for events, which puts those four at $32 a month each. Calendar is left out, because Covenant OS does not sell room booking. Giving sits at the tier the gifts in the month reach, and Riverside gives $200,000 online at $100 a gift, so 167 gifts a month puts Giving at $32 and the five come to $160 a month and $1,920 a year.

Read on each vendor's pricing page on October 22 and October 24, 2026, and Covenant OS on October 24, 2026.

Count the rows in your own database before you compare. A church of 200 on a Sunday often carries 300 names or more, because members who moved away, grown children and years of guest cards stay in the file, and ChurchTrac bills on that count.

Texting, streaming, presentation and website costs

Texting runs about $350 a year for a 200-person church, a website $780 to $1,200, presentation software $210 to $400, and streaming nothing until the church wants the service on its own website.

Texting is billed by the credit, so the size of the list and how often you send set the bill. Six texts a month to 160 people uses 960 credits, which fits Clearstream's $35 tier. Read church texting services for the full comparison.

Should a church switch software to save money?

Only after it fixes its giving page and checks its database count. Those two steps usually save more than a new vendor, and they cost no migration hours.

  1. Pull last year's online giving and split it into card and bank transfer. Multiply the card total by 2.9%, add 30 cents a gift, and bring that dollar figure to the next finance meeting.
  2. Make bank transfer the first option on the giving form and the default on recurring gifts.
  3. Export your database, count the rows, and find how far you are from the next price band on every product you pay for.
  4. Price a switch with the new subscription, every setup fee and the migration hours at $36.14 each. Before you sign, get in writing what you can export when you leave, and read protecting member data.

For the records system itself, read church management software for every system priced and scored, and the Planning Center vs Breeze vs ChurchTrac comparison for three of them side by side.

The July 2026 price book and cost model stay available for comparison. ChurchTrac, Clearstream and Text In Church have raised prices since then, so budget from the October file.

How the calculator works out each total

Giving fees are the processor's percentage on the dollars plus its flat charge on each gift. The number of gifts is your yearly giving divided by your average gift, and the bank transfer share is priced at the processor's bank rate. Givelify publishes no bank transfer rate, so all of its gifts are priced at the card rate.

Texting is priced at the plan that covers your monthly messages. Streaming is the Resi plan you choose, and ProPresenter is $29 a month or $289 a year for each seat. Renewed Vision quotes 11 or more seats, so the calculator stops at 10.

Planning Center prices every product on its own ladder of $0, $15, $32, $69, $115, $179 and $239 a month. The counts come off the usage table on covenantos.com/pricing, read October 24, 2026, which covers 50, 100, 200, 600, 2,000 and 4,000 people a Sunday, and a size between two rows is read across in a straight line. Giving sits at the tier the gifts in the month reach: $0 up to 10 gifts a month, $15 up to 75, $32 up to 200, $69 up to 500, $115 up to 1,000, $179 up to 1,500 and $239 above that. At 180 people a Sunday that is Services at 44 team members, Check-Ins at 36, Groups at 90 members and Registrations at 45 attendees, $32 a month each, and 229 gifts a month puts Giving at $69, so the five come to $197 a month and $2,364 a year.

Covenant OS is priced by average weekly attendance: $39 a month up to 50 people, $59 for 51 to 100, $119 for 101 to 300, $229 for 301 to 1,000, $399 for 1,001 to 3,000 and from $699 above 3,000, where the yearly price is quoted. Yearly billing is ten months of the monthly price, so the 101 to 300 band is $1,190 a year. The switch on the left prices every processor at its own best published rate, and the condition on that rate sits in its row. Card gifts from 2.2% + 30¢ with Stripe's nonprofit rate need Stripe to approve the church and need at least 80% of its Stripe payments to be tax-deductible gifts. Subsplash states no condition on its exclusive rates.
