Volunteer Schedule Template
Pick a team and a start date, and the page lays out a week-by-week grid with a yellow cell for every volunteer slot. Print it, or download an Excel file that adds a roster sheet counting how many times each person is scheduled.

Volunteer schedule
Scheduling volunteers without burning them out
A volunteer schedule works when each person knows their turn weeks ahead and nobody serves more often than they agreed to. The roster sheet in the Excel file counts how many times each name appears in the schedule, so you can see at a glance who is carrying the most. Spell each name the same way in both sheets and the count fills in on its own.
Children's ministry roles need a current background check on file before the first Sunday. The roster has a column for the check date. Keep every children's team at two unrelated adults in a room, and write the rule at the top of the schedule so each volunteer sees it. Send the schedule out at least two weeks ahead, and ask people to find their own substitute and tell you.
The same grid works for a bulletin insert, a staff meeting handout or a sign-up board. If you plan the worship set at the same time, the hymn library has public domain words and a slide maker for the screen. If your church needs a part-time sound or media person, the technical director jobs page lists open roles.
